Duties & Responsibilities:
Serve as the Chief
administrator of the Region for the Association, acting as liaison with
the Association officers, central office, regional members, regional
councils and task forces.
Responsible for all financial matters of the Region according to the
Guidelines for Financial Management of Regions
Prepare annual regional reports as required by the Board of Trustees.
Write job descriptions for Ed. Council & Task Force Chairs
Preside at Regional Leadership Team meetings and at the Annual business
meeting.
Appoint/remove Chairs, Special appointees and project team leaders after
consultation with the Regional Leadership Team. If a position has not
been filled the RD shall act as the primary link to the Board of Trustees
and Central Office, until that position has been filled.
Advise and assist Regional Leadership Team on the implementation of
regional activities and events, making sure that the educational role,
purpose and goals of the Association and region are met.
Develop an orientation program and training procedures for the Regional
Leadership Team including necessary materials.
Provide leadership and assistance with the recruitment of new institutional
and individual members.
Maintain regional files including regional rosters, annual reports,
minutes of meetings and other appropriate material.
Attend all meetings as required by the Board of Trustees.
Obligations: The
Regional Director is expected to attend the following during their
term:
· Attend the Annual Conference of the Association.
· Attend any pre-or post-annual conference meetings of the
regional directors.
· Promote and support annual I-LEAD and STEP Program.
· Have access to web-based communication technology.
· Attend the annual regional conference.
· Attend the regional council meetings.
· Attend annual regional functions where appropriate and possible
· Attend any special meetings scheduled by the Board of Trustees.
· Attend the annual summer meeting or similar meetings of the
regional directors.
Qualifications:
· Individual membership in good standing at a member institution
in good standing.
· Documented institutional support
· Commitment to fulfilling the duties of the position for the
length of the term
· Access, utilization and commitment to Web-based communication.
· Solid institutional support.
Term of Office
and Selection Process:
Regional Director
position shall be elected/selected by the regional membership to a two
(2) year term, and may not accede more then two consecutive terms.

Ed. Council
Chairs:
· There shall
be four Educational Council Chairs; each managed by one qualified staff
person and one student. They will be responsible for development, delivery
and evaluation of programs, services and support functions for the Region.
They should be issues pertaining to Student Unions/Activities and Student
development through volunteer-based membership and in concert with the
international education councils and the Central Office staff. Web based
technology will be used to facilitate collaboration and information
sharing with other educational council chairs on the international level.
The Central Office staff will provide functional support. Efforts will
target, but not be limited to the following areas:

Specific duties and responsibilities:
· Support,
advance and evaluate programs, services and project action plans of
the region.
· Provide feedback, support to the regional programs and project
teams.
· Assist in building inclusive volunteer organizations.
· Mentor students and new professionals by providing opportunities
for involvement in programs, services and support functions.
· Insure active participation of students by insuring that a
minimum of one student position exists on the council.
· Prepare and submit two articles per year in the Region 4 newsletter.
· Maintain communication with the International Ed Council Chairs,
Regional Leadership Team, Program/Project teams and Regional Director.
· Develop and deliver with project team one program per year
in one of the areas within their area of responsibility.
· Attend Regional Leadership Team meetings.
Regional Leadership Team Selection Process
Region 4 Leadership
Team positions will be an open process and will be advertised throughout
the region to individual members and member institutions. Applicants
must have written institutional support for that position. A letter
of institutional support should accompany the position application.
The Regional Director in consultation with the RLT Executive Committee
will appoint regional Leadership Team positions.
Project Teams
Project teams are
developed to implement new programs or events. Over time these project
teams may evolve into program teams. Program teams are a result of projects
that have evolved into recurring programs and services of the Association,
such as the Regional Conference, Recreation and College Bowl programs.
A Project Team shall be appointed as needed.
Project Initiation
Process:
· A project
can be initiated by any member of the Regional Leadership Team or an
ACUI member of Region 4
· The project plan must be presented in written form and include
the plan development and budget. It may then be presented to the Regional
Leadership Team for approval/denial. If approved the RLT will appoint
a Project Team Leader.
· Project Team Leaders and members will serve a one-year term
unless otherwise specified.
· Project Team Leaders must be an individual member or be affiliated
with an ACUI member institution.
· Project Teams may be established as necessary to fulfill the
needs of the Region.
Ongoing Program Teams
Program teams are a result of projects that have evolved into recurring
programs and services of the Association. These project teams have
evolved into program teams.
Annual Regional Conference
· There shall
be an annual Regional Conference, to be held in the fall of each year.
A Conference Team Leader will be appointed and he/she will identify
a group from schools within the region. As the Conference Planning Team
they will plan and deliver the program under the guidance of the Regional
Director and the Regional Leadership Team.
Annual Recreation
Tournament
· There shall
be an Annual Recreation Tournament held in the spring of every year.
All tournaments must be completed by the end of February in order to
accommodate those winners that move on to the International Recreation
Tournaments.
Annual College
Bowl Tournament
· There shall
be an Annual College Bowl Tournament held in February of every year.
The "College Bowl Company" sets the dates for competition.
CommUnities
· ACUI CommUnities
may be established, both at the Regional and International levels. Acting
in place of many previously existing ACUI Committees, these CommUnities
will exist to provide networking and volunteer opportunities in areas
of interest to Association membership. In addition, they may partner
with Ed. Council Chairs to produce programs supporting regional imperatives.
· CommUnities may be proposed and started by any Association
member. They will receive logistical support as appropriate through
the Regional Leadership Team and/or ACUI Central Office.
Meetings
There will be three
regular Regional Leadership Team meeting per calendar year. One in the
month of January or February, one in August and one in November prior
to the annual conference. Special meetings may be scheduled at the discretion
of the Regional Director or at the request of the Regional Leadership
Team members.
Quorum
A simple majority
of occupied positions must be in attendance at a Regional Leadership
Team meeting to conduct business. Only eligible RLT present may vote;
no proxy will be permitted.
Annual Business Meeting
A Regional business
meeting will be conducted once a year at the annual regional Conference.
Amendments to By-Laws
· Any ACUI
Individual member or officially designated representative of a member
institution may propose amendments to these Operating Procedures. Proposed
amendments will be submitted as agenda items for the Annual Regional
Business Meeting
· Proposed amendments must be submitted in writing to the Regional
Director at least forty-five days prior to the Annual Regional Conference
and distributed to the Regional Leadership Team no less then thirty
days prior to the Annual Regional conference.
· The Regional Director will submit the proposals to the Regional
Leadership Team. Any proposed changes take effect upon approval of 2/3
majority of the Regional Leadership Team.
